Welcome to Quill Planner
Quill Planner is a day planner with an assistant built in. It turns your tasks, meetings and priorities into a realistic plan — and never changes your calendar without your OK.
Set up in two minutes
- Open the iPhone app and tap Get started, or go to app.quillplanner.com and choose Get started free. Both ask the same seven questions.
- Tell Quill your name, what you do and the groups you work with (associations, clients, courses or projects).
- Pick everything else you want help with besides work: personal life, family and home, health and fitness, errands, money, learning, side projects or friends. An HOA manager can plan the gym and errands right next to board meetings.
- Pick your working hours, when meetings usually happen and when you focus best.
- Name your assistant — it’s called Quill unless you choose otherwise.
- Optionally connect your iPhone calendars and a morning briefing.
- Save your workspace with a free account, or continue on this iPhone and sign in later.
Your account and sync
Sign in on iPhone (Workspace → Account & sync) and on the web with the same email. While the app is open, tasks, Planner blocks, task notes, agendas, chats and preferences sync automatically.
If the same item changes on two devices, Quill keeps both safe and asks you which to keep. Notebook pages, attached files and device calendar events stay on your iPhone.
Confirming your email
After creating an account, open the confirmation link we email you. If you signed up in the iPhone app, open it on your iPhone and you’ll come right back to Quill, signed in. If you signed up on the web, the link opens app.quillplanner.com and signs you straight in. You can resend the email from the same screen.
Forgot your password?
On the web sign-in screen choose Forgot password?, or on iPhone use Workspace → Account & sync. The emailed link lets you choose a new one.
Today
Today shows what’s happening now and next, a day bar of your blocks, tasks due today and a short briefing. Start a focus session or ask Quill straight from the card at the top.
Planner and timeboxing
Timeboxing means giving your work a place on the calendar. The Planner has Day, Timeline, Hours and Week views. Free time shows as gaps with a Plan button that fills them with your open tasks.
Blocks show an icon that matches what they are — a hiking figure for a hike, a fork and knife for lunch, people for a meeting. Fixed meetings stay put; flexible blocks can move when your day changes.
Tasks and Inbox
Capture anything into the Inbox (your brain dump) with Quick capture or Siri. Give a task a planned day, a separate deadline, an estimate, priority, notes, a checklist and a group. Pro adds lists, labels, repeating tasks and templates.
Agents
Agents plan around your day, like a helper that knows your habits. Open Agents (web sidebar, or Workspace → Agents on iPhone) to add habits (morning catch-up, exercise, meditation, a walk, weekly planning and more), buffers (a break after long meetings, prep before meetings), a weekly Focus time goal and a meeting overload warning. Then choose Plan the next 7 days: Quill fits everything around your meetings and lunch and shows it for your OK. You can also just ask: “Make my morning meditation a habit” or “Set my focus time goal to 10 hours.”
Calendars
Quill plans around the calendars on your iPhone — Apple, plus Google and Outlook accounts added in iPhone Settings → Apps → Calendar → Calendar Accounts. Open Workspace → Calendars to connect and choose which calendars count as busy.
Device calendar events are read-only in Quill and stay on your iPhone. To put planned work on another calendar, use maintained calendar copies.
Focus and Pomodoro
Start a focus session from Today, a task or the timer button. Pomodoro alternates focus and breaks. A running timer stays visible on every screen; tap it to return. Finished sessions are saved to your time records and Insights. (Pro)
The timer alarm
Turn on Alarm in the timer, or Focus timer alarm in Settings. On iPhone with iOS 26 or later it rings like the Clock app’s timer, even on silent, until you stop it; earlier versions get a notification with sound. On the web, Quill chimes in the open tab and can show a browser notification.
Reminders and encouragement
- Morning briefing — your top priority for the day in one sentence, at 7:30 AM (change the time in Settings → Reminders & alarms).
- Priority nudge — if a high-priority task for that day is still open in the afternoon (3 PM by default), Quill nudges you. Tap Mark done or Remind me in 1 hour.
- Celebrate finished tasks — each task you check off gets a short note of encouragement.
On iPhone these are notifications for the next seven days, refreshed whenever your tasks change and whenever you open the app. On the web they appear while Quill is open in a browser tab, after you turn on Browser notifications in Settings.

Every calendar change Quill suggests appears as a preview card with each change listed. Tap Apply to make it happen or Discard to keep your day as it is. After applying, Undo is right there.
Fixed meetings are never moved to make room; flexible blocks can shift around them.
Meeting agendas
Ask “Draft an agenda” or “agenda for the board meeting”. Quill builds a timed agenda for your next (or named) meeting, shaped by your kind of work and that group’s open tasks — for example call to order, quorum, minutes, financials, open items and homeowner forum for an HOA board. The agenda is saved into the meeting’s notes after you approve it, and syncs to the web.
Live AI and on-device answers
On your iPhone: everyday requests run instantly without the internet. On iPhones with Apple Intelligence, some answers are written on-device and never leave your phone.
Live AI (Pro): broader questions — like “What is an HOA?” or “Help me prepare for a budget meeting” — use live AI. Your request and a short summary of your workspace are sent to OpenAI to write the reply. Notebook pages, files and device calendar events are never sent.
Pro and billing
Quill is free to start. Pro is $9.99 a month or $79.99 a year and unlocks live AI, focus sessions, lists and labels, repeating tasks, templates, dictation and attachments. On iPhone, subscriptions are billed and managed by Apple: Settings → your name → Subscriptions.
On the web: new accounts get a 7-day free trial of Pro; the badge at the top shows the days left. Choose Upgrade your plan to pay securely with Stripe (Quill never sees your card). Afterwards, the Pro badge opens your plan, where Manage billing changes your card or cancels. When a trial ends without an upgrade, your tasks, planner and calendars keep working; live AI and the focus timer pause until you upgrade.

Using the web app
Go to app.quillplanner.com and choose Get started free to create an account, or Sign in if you already have one. You get Today, the Planner, Tasks, Notes and Quill in your browser. You don’t need an iPhone; if you have one, the same account syncs with the app. For your security, the web app signs you out when you close or reload the tab.
Privacy and your data
Read the full Privacy Policy and Terms of Service. You can export or erase the workspace on your iPhone in Workspace → Data & backups. To delete your account and synced data, email quill@quillplanner.com.

Something not working? Email quill@quillplanner.com with what you tried and what you expected. If Quill shows an error code, include it — it tells us exactly what happened.
